Grant Application Management System (GAMS) Information

What is GAMS

Until early 2009, GAMS was the ARC’s web-based system for managing Proposals, Assessments, Rejoinders and Final reports.  RMS has replaced GAMS for all of these functions except Final Reports.  Final Reports will continue to be processed in GAMS until further notice.

GAMS Technical Information

GAMS provides the maximum 128-bit encryption to encrypt your information. GAMS secured transmission of web pages is indicated by the secured https URL address (http://gams.arc.gov.au) and the yellow padlock icon located on the footer of your browser window. Please double click on the padlock icon for further information.

Grant Application Management System - Please note that both your GAMS User ID and password are case sensitive.

Minimum system requirements

To access GAMS, you will need the following:

  • Computer (Intel PC or Mac)
  • Browser
  • JavaScript enabled for that browser
  • GAMS ID and password

GAMS has been developed and is maintained by a third party outside of the Australian Research Council. Based on their advice, the following represents GAMS operability, using various browser and operating system platforms.

For Intel PC based operating systems, the following browsers are recommended:

  • Internet Explorer 7.0 or later; or
  • Mozilla Firefox 1.0.4 or later; or

For Macintosh, Unix, and Linux based operating systems, the following browsers are recommended:

  • Mozilla Firefox 1.0.4 or later; or
  • Mozilla 1.4 or later.

Note: A GAMS MAC user has advised the ARC that to open/download RTF files from either GAMS or the ARC website, MAC users should use Mozilla Firefox 1.5. The formatting is then preserved when opening the documents in Word X for Mac.

GAMS will not work for Netscape 7.1 or later using Windows 95 platform

GAMS will not work for Netscape 7.1 or later using Unix platform.

It is not known if GAMS will work for Opera 6 using Mac OS X platform.

Instructions for enabling Javascript

For GAMS forms to validate your data correctly, you must have JavaScript enabled in your internet browser software.

GAMS User Accounts

As GAMS has been replaced by RMS, new accounts for GAMS are only issued to new Research Office Staff by emailing gamsids@arc.gov.au.

Changing your password

Click the “My Details” button, then the "Password" button. Enter your old password, then tab down to enter your new password in each of the lower two fields. Your password must be between 5 and 10 characters and cannot be your previous GAMS password. Please note that passwords are case sensitive. Click "Save". A message confirming that you have successfully changed your password will be displayed.
Note: do not update your personal details in GAMS – only in RMS

GAMS timeout

After 20 minutes of inactivity on GAMS, a dialogue box will pop up on your screen, warning you to save your data. After 60 minutes of inactivity GAMS will automatically log you out. Any unsaved data will be lost when you are automatically logged out.

Using browser "Back" button

Please do not use the "Back" button in your browser to navigate backwards more than one or two screens. The GAMS database may lose track of your screen sequence. You should use the "Back" button on the GAMS menu bar.

Remaining GAMS Functions for Research Office Staff

Many GAMS functions no longer in use have been disabled.  The list below reflects the functions still available to research office staff
Research office staff can have either 'Office' or 'OfficeAdmin' role, or both roles to access GAMS.

Office Role

"Office" level access allows the user, within their own organisation, to:

  • Download Application RTF for previously submitted proposals
  • Run Admin processes – (e.g.CSV Project Extract)
  • Edit & print Final Reports
  • Search & view Applications, Final Reports
  • View Rejoinders, Client Records, deleted applications

OfficeAdmin Role

"OfficeAdmin" level access allows the user, within their own organisation, to:

  • Search & Edit Client Accounts
  • Create & Edit Passwords
  • Access and Print Final Reports
  • Run Admin processes – (e.g.CSV Project Extract)
